Privacy Notice
We, DARIAH ERIC, would like to inform you about your rights and our obligations regarding collecting and processing any of your personal information, which you might provide to us. We have a range of policies and procedures to ensure that any personal information you supply is only with your active consent and will always be held securely and treated confidentially in line with the applicable regulations. In the following section, we describe how and for what purpose we collect, use and process your personal data. In this privacy notice, we might use “we” or “DARIAH”, but we always refer to DARIAH ERIC. If you want to know more about our statutes or the legal form ERIC, please follow the links.
1/ DARIAH Mailing list & Newsletter
If you subscribe to DARIAH’s mailing list and newsletter, you agree to share with us the following personal information: your name (first and last name), your email address and, optionally, your institution/affiliation (i.e. the research institute or university you are working in).
We use these data to send you messages (at the email address you gave us) about DARIAH’s activities (i.e. events, call for projects, etc.) or activities carried out by our partners (i.e. events, job offers, etc.). All messages sent to this mailing list have to be approved by the DARIAH coordination office, so that you only receive moderated information we believe to be of interest to you.
For this, we use the services of MailChimp. A copy of the database is stored on Sharedocs, a storage service provided by our partner Huma-Num, only accessible by the DARIAH coordination office. Your data will be stored as long as you use the service. You can change or delete your personal information at any time by contacting us.
2/ Other DARIAH mailing lists
We offer different mailing lists dedicated to each of DARIAH’s organisational body (i.e. DARIAH General Assembly, DARIAH NCC, etc.). If you subscribe to any of these DARIAH’s mailing lists, you agree to share with us the following personal information: your name (first and last name) and your email address.
We use these data to send you messages (at the email address you gave us) related to the mailing list you have subscribed to (i.e. DARIAH NCC mailing list shares news concerning national coordinators meetings and activities, etc.). All messages sent to this mailing list have to be approved by the DARIAH coordination office, so that you only receive moderated information we believe to be of interest to you.
Your personal data are stored on the servers of our partner GWDG (Gesellschaft für wissenschaftliche Datenverarbeitung mBH). Your data will be stored as long as you use the service. You can change or delete your personal information at any time by contacting us.
3/ Basecamp
To improve and support communication in each organizational body of DARIAH or DARIAH related project, we provide dedicated space in Basecamp for each of them, called ‘project’. A Basecamp project is a platform where people can exchange messages and documents. On our DARIAH Basecamp account, we currently host the following projects: DARIAH DCO, DARIAH Scientific Board, DARIAH theme 2017, DESIR, General Assembly, NCC, JRC, Open Science, SMT.
To subscribe to one of these Basecamp projects, you have to contact the DARIAH coordination office and provide the following personal information: your name (first and last name) and your email address.
Your personal data are stored in Basecamp and are visible by all the people involved in that specific project as well as the administrator. Your data will be stored as long as the project you subscribed to is active or as long as you wish to be part of it.
4/ Registration to “SciencesConf”
For specific projects, such as the annual event, the DARIAH theme call or the Working Group funding call, DARIAH uses sciencesconf.org, a web platform dedicated to the organization of scientific events and scientific call for projects. Sciencesconf.org is a service provided by our partner the CCSD (Centre pour la Communication Scientifique Directe). Depending on the project, we collect personal information necessary to perform the project, such as your name (first and last name), your email address and your institution/affiliation.
Your personal data are stored by the CCSD and are only accessible by the DARIAH coordination office. Your data will be stored for two months after the end of the event or the call you subscribed to. You can of course delete your personal data before by contacting us.
5/ Travel claim form
In specific cases (i.e. you are invited to give a keynote in one of our events, etc.), DARIAH might cover your travel and accommodation costs. After consultation with the DARIAH coordination office, you will receive a travel claim form, in which you will have to provide the following information: your name (first and last name), your personal address and your bank details.
The data will be used to reimburse the costs related to your travel and will be stored on the personal computer of our financial officer. The data will be communicated to the accounting office Expertens and to the auditor Solsequia finance and stored for 10 years (legal period under French law).
6/ Google Analytics
DARIAH uses the services provided by Google Analytics. It collects data about your activities that does not personally or directly identify you when you visit our website. This information may include content you view, the date and time that you viewed the content or your location information associated with your IP address. We, in DARIAH, use this information to improve the structure and content of our website. To see how Google uses data when you use DARIAH website, go to this page.
7/ Recruitment
When you are applying for a position at DARIAH, we process your data (resume, cover letter, etc.) for recruitment purposes only. We are storing your data on a Google Drive folder, accessible only by the selection committee (a group of people selected for their role and/or skills in charge of evaluating the application) and the secretariat in charge of organising the applications. We will keep this data until the open position is filled. When that period is over, we will either delete your data or inform you that we intend to retain it for consideration for future opportunities.
You have the right to access, change or delete your personal data at any time. If you agree to the use of your data for one or all of our services, you always have the right to withdraw your agreement at any time.
